Initial Appointees under “Integrated Initial Appointee Relocation Program” – Brookfield Global Relocation Services (BGRS)

Initial Appointees who signed a letter of offer on December 1st, 2007 or after are covered under the Integrated Initial Appointee Relocation Program. All Initial Appointee files are now managed under by Brookfield Global Relocation Services with a modified fee.

This form should be filled out by obtaining the funds estimations from the Brookfield Global Relocation Services after the person has been registered in the on-line secure web site to approve the Relocation process as early as possible in the Relocation process, but before any funds are spent. It should then be signed by all authorized parties.
The HRG will prepare the offer letter ensuring to include the Initial Appointee clause in the terms and conditions of employment.
Please ensure that the Initial Appointee is given access to the Addendum-Integrated Initial Appointees Relocation Program document and aware that they must read and understand their obligations before proceeding.
Please indicate who filled out the form with contact number for future reference.
Assistance should only be extended if the appointee is prepared to sign a two-year service agreement (but is applicable for any term of one year or more) specifying that if the appointee terminates employment and thereby fails to complete a continuous two-year period with the federal government, the employee shall repay directly to the engaging department, a portion of the relocation assistance provided, proportional to the period by which the employee’s continuous service falls short of two years.
For specified term appointments of less than two years but at least 1 year, the reimbursement will be proportional to the period by which the employee’s service falls short of the original duration of the term.

The total allowable amount is up to $5,000.00 for actual and reasonable Relocation costs supported by receipts.

Original receipts must be provided in order to be reimbursed for the costs (with the exception of the Incidentals).

A complete copy of the signed letter of offer (salary figure removed) should be included with this form.

The “other” box can be used for other planned expenses such as a supplementary amount related to a Business Case. Please describe what they are.

It is up to the appointee to make all of their own relocation arrangements (flight, moving service, hotel, etc… ) and submit claims to BGRS directly for reimbursement.

A commitment with zero tolerance should be created before sending the form to the Travel Office. Please include the Commitment number and full coding on the form. Incomplete forms take much longer to process and could result in reimbursement delays for the relocated appointee.
Please forward completed form to the NRC Travel Office in Ottawa, Building M-58, Room S-201. The Travel Office will ensure proper signatures are included and keep the original form on file for referral at time of payment.
